Organising construction project documents: one project, one working context

Contracts, quotes, invoices and minutes belong to the project – not in a folder of files. This is how you keep an overview and find every document again.

Why folders reach their limits

Documents accumulate constantly on a construction site: construction contract, quotes, Nachträge, Abschlagsrechnungen, acceptance report (Abnahmeprotokoll), photos and letters. If they sit in the folders of individual employees, the one letter is missing in a dispute – or nobody knows which version applies.

  • File names say little about the content.
  • The status and version of a document remain unclear.
  • The documents of a construction site are spread across several people and devices.

Organise by project

Assign documents to the construction project, not to the person or the date. Then one look at the project is enough to see the contract, quote, invoice and acceptance report.

Have documents read

Upload a PDF or a photo and BauWalker reads the text using text recognition and summarises what it is about – for a supplier invoice, for example, the amount, the due date and the assignment to the project.

Separation and access

Not everyone needs to see everything. Access depends on organisation, project and role; the company folder and personal storage remain separate, and the answer names the document it comes from.

How it works in BauWalker

One project, all documents – with answers that name the document.
